Pre-Payment Cleaning Scheme

Introduction

Families have asked whether it is possible to have their cleaning completed by an official regulated company when they move out of their property. In response to this feedback, DE in partnership with MHS, have developed a voluntary pre payment cleaning scheme. This voluntary scheme aims to eliminate any unnecessary problems by establishing a dedicated company who will ensure that the property is handed back to DE in an acceptable condition.

The two chosen companies chosen to provide this service is ‘Ideal Cleaning Services’ (hereafter called Ideal) and “In-Situ” – both companies specialise in providing complete cleaning services. Both cleaning companies have a central helpdesk manned by security cleared, dedicated staff resourced from their already established, experienced team. All payments will be made through these helpdesks and guidance and information can also be given by the helpdesk staff.

What do I need to do?

Once you contact the relevant cleaning contractor’s Helpdesk (In Situ will cover Service Family Estates in the North and West of England and Wales whilst Ideal will cover all other geographical areas), they will then arrange for one of their representatives to visit you and give you a free, non-obligatory INITIAL QUOTATION reflective of the work required to put the property in line with the established move-out standard. If you accept the quote, you can then contact the cleaning contractor to confirm your interest. Another appointment will then be arranged for a cleaning contractor representative to visit you and provide a fixed FINAL QUOTATION. This normally has the same value as the estimate but can increase or reduce depending on changes, if any, to the cleanliness of the property as seen on the issue of the INITIAL QUOTATION.

If you decide to accept this FINAL QUOTATION please telephone the cleaning contractor Helpdesk quoting your order number. Payment can be made by Debit or Credit card or should you wish to pay by cheque, please allow enough time for funds to clear fully (which can take anything up to 10 days) before your move out inspection with your Housing Officer. No cash payments can be accepted, and any payments rejected or cheques returned by your bank will invalidate any agreement between yourself and the cleaning contractor.

Once the payment has been cleared, the cleaning contractor will confirm with the DE Housing Officer that you have chosen to use this scheme. This will mean that all responsibility for the cleaning of the property will be with the cleaning contractor and they guarantee that the property will meet “Move out” standards. Once payment has been received by the cleaning contractors, no further payment will be needed from you or any other authority in respect of the cleanliness of the property at move out and you will then receive a final copy of the order confirming and validating the Pre Payment Guarantee.

This Guarantee is subject to you, the occupant, leaving the property in the exact state of cleanliness as it was on the date of your final quotation and you should note that this guarantee does NOT indemnify against any Barrack Damage.
